    Facility Use Procedure

    The BSD School Board encourages the use of school facilities by responsible individuals, groups, and organizations consistent with the Delaware State Code. 

    All individuals, groups, and organizations are expected to abide by the guidelines for acceptable use of Brandywine School District facilities set forth in School Board Policy 09.1, R09.1.1, R09.1.2, and R09.1.3.

    Due to the many steps that facility use applications go through for approval, please submit your application AT LEAST 45 DAYS PRIOR TO YOUR REQUESTED START DATE.

    How to Apply for Facility Use:
     

    Step 1: Contact the school you wish to use to verify that the area(s), date(s), and time(s), you would like to use the building are available.

     

    Step 2: Ensure that your organization has the below required documentation ready to be submitted WITH your facility use application.

     

    Required Documentation Includes:

     

    £ $20 Application Fee

     

    £ Proof of Liability Insurance* (Brandywine School District MUST be named as the “additionally insured”)

     

    The “Certificate Holder” box on your insurance certificate must read:

    *For individual users such as civic associations, Release of Liability Forms must be completed in lieu of liability insurance.

     

     

    IF Applicable, Required Documentation May Include:

     

    £ Lifeguard Certifications (Users of any swimming pool must provide documentation of the following for the certified lifeguard they plan to have on-duty):

     

    § Current certification in National YMCA Lifeguarding or American Red Cross Basic Lifeguard or approved equivalent

     

    § Current certification in American Red Cross, American Heart Association, or National Safety Council Cardiopulmonary Resuscitation (CPR), or approved equivalent, that includes training in adult CPR, child CPR, and infant CPR

     

    § Current Certification in American Red Cross First Aid, or approved equivalent

     

    £ Proof of tax-exempt status (If your organization is a non-profit organization, you must provide a copy of the approval letter you received from the IRS granting your organization tax-exemption under section 501(c)(3) or 501(c)(4) of the Internal Revenue Code.)

     

    Step 3: Submit the facility use application, application fee, proof of liability insurance, and (if applicable) proof of tax-exempt status DIRECTLY TO THE SCHOOL you are requesting to use.

     

    Incomplete or late applications may delay or deny your organization’s ability to use Brandywine School District facilities.

    To conserve energy, the HVAC systems for all schools are placed into an unoccupied setting at the end of the normal school day.  In cases where the building’s heating/ventilating/and air-conditioning systems would not otherwise be running, an energy surcharge will be applied to all Users when HVAC systems are scheduled for their building use.

     

    *One extra hour per day will be added to all HVAC charges. This covers 1 hour prior to the start of the event for cooling/heating.
